JOB SUMMARY

The Grants Finance Manager, reporting to the Director – Finance & Operations, assumes a pivotal role in the India Country Program. Operating under the broad guidance of the Director, the Grants Finance Manager actively contributes to the assessment of new partners and conducts periodic reviews of existing partnerships. Additionally, the role involves crucial support in the meticulous review of financial statements within the Orbis program in India, ensuring financial integrity and adherence to established protocols.

REPORTING & WORKING RELATIONSHIPS

Reporting directly to the Director – Finance and Operations,

Collaborate closely with the Director - Finance and Program Team and Liaise with Operations and Finance teams for effective budget management, externally coordinate with partners for financial assessments and reviews and work with auditors, ensuring compliance and timely implementation of recommendations.

ESSENTIAL JOB FUNCTIONS / KEY AREAS OF RESPONSIBILITY

  • Conduct thorough partner assessments for new collaborations and conduct periodic reviews of existing partners, focusing on financial aspects.
  • Review Partner Financial Statements/Reports, seeking clarifications when necessary, ensuring adherence to guidelines and reporting requirements.
  • Play a key role in building the capacity of partner organizations through financial reviews and strategic/business plans development.
  • Generate a monthly report for management, providing a comprehensive status update on all assigned grants.
  • Collaborate with the Director - Finance in developing reports for top management, summarizing the financial position in income, expenses, and cash flows.
  • Prepare compliance checklists per donor contracts for all restricted donor grants, supporting the Director of Finance and Program Team in report preparation and submission.
  • Coordinate grant audits, ensuring thorough follow-up and implementation of recommendations for enhanced financial management.
  • Assist in the development and appraisal of new projects and proposals as requested by the Program Team, with a focus on grant finance management.
  • Support the Director of Operations and Finance in developing, monitoring, and reviewing the annual budget of the Country Office and restricted donor budget.
  • Assist the Program Team in managing project budgets, ensuring optimal utilization of available funding in line with approved budgets.
  • Ensure timely review, posting of transactions in MIP, reconciliation, and analysis of balance sheet accounts, submitting month-end reports to OI.
  • Undertake any other duties as assigned by the Country Director/Director – Finance & Operations, with a primary focus on grants and finance management aspects

QUALIFICATIONS & EXPERIENCE

  • Master’s degree in finance, Business Administration, or a related field with a Professional certification such as CPA, CMA, or equivalent.
  • Minimum of 5 years of progressive experience in finance roles, with at least 2 years in an international NGO or similar organization.

SKILLS & ABILITIES

  • Proven expertise in strategically managing grants, ensuring compliance with financial guidelines and reporting requirements.
  • Adept at building the financial capacity of partner organizations through insightful financial reviews and the development of robust strategic/business plans.
  • Demonstrated ability to analyze income, expenses, and cash flows, producing insightful monthly reports for effective decision-making.
  • Expertise in preparing key compliance checklists for restricted donor grants, ensuring adherence to contractual obligations.
  • Experience in coordinating grant audits, overseeing follow-up actions, and implementing recommendations to enhance financial management.
  • Proficient in supporting the Program Team and Director of Operations and Finance in budget development, monitoring, and review, ensuring optimal fund utilization.
  • Advanced skills in reviewing and posting transactions, reconciling accounts, and submitting timely month-end reports using financial systems.
  • Strong collaboration skills, engaging seamlessly with internal teams (Finance, Operations, Program) and external stakeholders for effective financial and grant management.
  • Ability to adapt to evolving project needs, contributing positively to the development and appraisal of new projects and proposals.
